    Under the supervision of the Supervisor, the Class performs the following duties:

    • Answer phone calls and tend to visitors; provide guidance and direction to callers and visitors; perform simple research to respond to questions from visitors and callers; receive and send notification emails regarding canceled or rescheduled meetings, agenda distribution, and status inquires.
    • Assist in receiving, reviewing, and routing numerous correspondence; perform date entry in LAFD’s Assignment Tracking and Reporting System (SRS); upload letters into system, update status; retrieve, review, and research information as needed; file correspondence and other documents physically and electronically; create or review and edit approved Information Notices and upload to the LAFD Intranet.
    • Assist the bureau office in performing basic research and follow up calls in support of special projects; assist in gathering information and typing content provided for quarterly newsletter. Log basic financial information in Microsoft Excel/Google Sheets relative to budget monitoring and control, bureau staffing, sworn staff vacancy projections, special fund expenditures, variable staffing hours, and others; receive, log, and route invoices to Accounts Payable for payment.
    • Assist Senior Management Analyst in reviewing numerous travel requests and documents; verifying expense calculations; ensure that all documents and information are in compliance with City travel guidelines; utilize the internet to retrieve and verify information related to travel for conferences, meetings, etc. (e.g., maps, car rental/taxi/car service quotes, mileage, estimates, hotel rates); assist Secretary with the preparation of travel requests and post-travel documents for Bureau Commander.
    • Provide clerical support to the Training and Support Bureau Commander during the absence of the Secretary.
    • Order supplies for bureau office utilizing LAFD’s Supply Requisition System (SRS).
    • Perform other Duties as needed.
