  • Job Description

    POSITION SUMMARY

    Performs skilled administrative, clerical, and claims intake work in the Risk Management Division of the City's Human Resources Department. Acts as the administrative assistant for the Division and requires exceptional customer service skills. This work is of a specialist nature often involving complex work methods, techniques, and responsible independent work.

    This is a classified position covered by the Personnel Rules.

    ESSENTIAL JOB FUNCTIONS

    Essential functions are the basic job duties that an employee must be able to perform, with or without reasonable accommodation.     • Exercises initiative to positively and effectively address customer's needs in a timely and courteous manner
    • Serves as office administrative assistant for the Division; greets visitors and answers the general phone line for the Division
    • Assists walk-in customers with questions and requests for information
    • Thorough knowledge of modern office practices, procedures, and equipment
    • Maintain and upkeep of the copier, printer, and fax machines
    • Knowledge of administrative and clerical procedures including filing systems, computer data entry, and office software applications
    • Keep complex records and prepare periodic reports from such records
    • Develop and maintain cooperative and effective relationships
    • Participates in other Division activities as needed, including interaction with customers as required; provides information to customers regarding claim status and explains claims process
    • Understand and follow moderately complex oral and written instructions
    • Use good judgment in the application of various procedures and regulations pertinent to work
    • Make minor decisions in accordance with rules, regulations, and established policies and procedures
    • Backup for Department administrative assistant for breaks, lunches, vacations, sick days and other times as necessary
    • Completes claim intake from customers and employees
    • Timely pays bills and invoices; processes check requests
    • Manages claim files and safety training records
    • Searches for and compiles data from files and other sources for reports
    • Assists claim adjusters and safety training staff with assigned tasks
    • Performs related work as required


    JOB REQUIREMENTS, PREFERENCES & WORK ENVIRONMENT

    High School Diploma or G.E.D. equivalency One (1) to three (3) years performing intermediate level administrative work, preferably in a Human Resources environment. Additional qualifying experience or completion of coursework at an accredited college or university in a job-related field, may substitute on a year-for-year basis for the required experience or education Intermediate proficiency level in the following MS Office Suite applications: WordExcelOutlook If claiming Veteran's Preference, candidates must attach a DD214 Member 4 form, and the City of Fort Lauderdale's veteran's preference claim form (J-204 ) to the online application.
    Preferences:
    Administrative Work in Human ResourcesProficiency in virtual meeting software (Zoom, Teams, etc.)Knowledge of administrative and clerical procedures including filing systems, computer data entry, and office software applications Exercises effective oral and written communications Experience with customer service and dispute resolution. As public servants, employees may be required to work immediately before, during, and/or after an emergency. All employees must be available and able to work assigned shifts as determined by their Department Heads.

    PHYSICAL STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS
    The position is generally sedentary. Employees sit most of the time but may walk or stand for brief periods of time.
