    Job Summary

    Under the supervision of the Director of Residential Life, the HRL Residential Life Admin Support Coordinator provides administrative, purchasing, and customer service support to the Housing & Residential Life team. The incumbent will assist the Residential Life team with purchasing, requisitions, budget assistance, student conduct administration, room change processes, student voucher preparation, staff recruitment, staff training, travel paperwork, student staff selection, etc. This position will also be cross trained to serve as a back-up to other Administrative Support staff in the office.

    Furthermore, the incumbent provides services that are equitable, inclusive, and culturally sensitive to enhance the quality of campus life. This position uses a student centered and equity minded approach in all communication and service efforts.

    Key Responsibilities

    • Administrative support for the Residential Life Team: Assist with department-wide initiatives that may include weekend and evening work (e.g., Move-in, Beach Days, Move-Out, Day at the Beach, etc.)
    • Financial Support: Purchase, order and replenish supplies when needed. Submit and process EMS requests and contact campus partners for large scale events.


    Knowledge Skills and Abilities

    Experience working in an active and dynamic office environment. Excellent oral communication skills to diplomatically and effectively communicate with co-workers, staff, department staff, outside vendors, and all members of the campus community through phone and in-person contact. Strong written communication abilities essential for managing email correspondence and responding to complex inquiries from students, faculty, and staff. Ability to maintain equanimity during peak and urgent times. Ability to work as part of a team through close collaboration with colleagues and coordinate with others. Ability to establish and maintain cooperative working relationships and maintain a positive and respectful attitude with all levels of organization. Advanced Microsoft Word proficiency essential for creating correspondence and administrative documents. Excel spreadsheet skills for data management and reporting functions. PowerPoint presentation abilities essential for supporting departmental presentations and training materials. Outlook email management essential for managing high-volume communications and scheduling.

    Multi-line phone system operation for handling campus-wide communications efficiently. Office equipment operation for daily functions including computer, fax, and copier usage. Task prioritization, time management, and organizational skills to handle multiple concurrent administrative responsibilities and continuously changing array of information to optimize efficiency and minimize duplication of efforts. Analytical and problem-solving skills to independently assess situations and identify practical solutions. Sound judgment and decision-making when addressing complex issues and coordinating with various departments. Team collaboration skills to work effectively with colleagues across all organizational levels. Leadership abilities to effectively lead and manage support staff. Relationship building skills to maintain positive working relationships and promote HRL goals. Cultural competency to serve all members of CSULB's campus community effectively. Confidentiality and discretion to handle sensitive medical and personal information appropriately. Access to reliable transportation preferred in order to travel between Beachside and main campus locations in a timely manner. Project management abilities for coordinating events and administrative support projects while meeting deadlines.

    Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."

    Education and Experience

    •Equivalent to four years of administrative support experience required.

    •Bachelor's degree preferred.

    •Marketing/design experience preferred.

    Physical Summary

    Light work - Job involves some lifting of medium weight objects (10-20 pounds) and/or 10% - 20% of the job involves standing or walking.

    Compensation

    Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

    Hiring Range: The hiring range for this position is $4,047 - $4,469 per month commensurate with candidate's education, experience, skills, and training

    CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,864- $6,072 per month.

    Time Base

    1.0 time-base, 40 hours per week.

    Duration of Appointment

    This is a temporary position for one year with no permanent status granted. Temporary assignments may expire prior to the ending date.
