As the Lead Administrative Support Assistant, you will provide support to the HAI/AR program, Operations Manager, Assistant Deputy Division Director, and other programs as needed. - Provide primary support to the HAI/AR program, Operations Manager, Assistant Deputy Director of DCPH, and back-up support to the BCDCP program.
- Manage and track the flow of fiscal notes for HAI/AR, BCDCP, BEHS , and BEE ensuring deadlines are met.
- Submit, monitor, and track invoices utilizing Smartsheet submission and tracking.
- Track the flow of documents needing Division review/approval for HAI/AR, BCDCP, BEHS, and BEE and provide regular status updates to the Operations Manager and Assistant Deputy Director of DCPH.
- Assist with business travel which includes, lodging, car reservations, conference registrations, etc.
- Proof documents, letters, memos and policies.
- Complete necessary forms and help desk tickets for new and/or departing employees.
- Answer the main phone line for the program.
- Schedule meetings and prepare applicable documents.
- Oversee program supplies and order as needed to maintain sufficient inventory.
- Process expense reports, purchase requests, and manage fix asset inventory.
- Support the confidential processing of personnel information.
- Open, process, and distribute daily mail.
Minimum Qualifications: - Graduate with a High School Diploma or High School Equivalency.
- Minimum 3 years relevant experience (substitutions allowed).
- Good customer service skills and the ability to solve problems.
- Well organized, detail oriented, and able to multitask.
- Excellent skills with standard office software (Word, Excel, PowerPoint, Outlook, etc.) with the ability to learn specialized software systems.
