    Working Title: Interim Executive Assistant to Vice President and CDEIO

    ** Successful candidates in these temporary appointments may be appointed from a few days up to one year depending on the assignment. Temporary appointments must end on or before the end of the fiscal year, with the possibility of renewal if funds and/or program needs exist.

    Classification Salary Range: $4,435 - $6,652 per month

    The anticipated hiring range for this position is $5,561 - $5,839 per month.

    The final salary is dependent upon qualifications and experience.

    About the Department/Position:

    Under the general direction of the Vice President & Chief Diversity, Equity, and Inclusion Officer (VP & CDEIO), the Executive Assistant is primarily responsible for the day-to-day office administration of the vice president's office. The incumbent will perform executive administrative operations, establish office protocols and procedures, maintain the VP/CDEIO schedule and calendar, and prepare high-level presentations, correspondences, and memos for the VP/CDEIO and unit leadership team. The incumbent handles significant and sensitive information in drafting and tracking correspondence for the CDEIO and takes notes and compiles information for grievance matters and areas of staff dispute, and drafts responses to grievances for review and approval. The Executive Assistant to the Vice President provides continuity of routine human resources processes such as recruitment, timekeeping, and eFAST processing by serving as the divisional HR Liaison.

    Special Working Conditions:

    This position may require extended hours, including evenings and weekends, particularly during high-priority projects or in response to urgent matters. The incumbent must demonstrate a high degree of self-management and personal accountability.

    Overview of Duties and Responsibilities:
    • Provide executive-level administrative support to the VP & CDEIO, including calendar management, meeting coordination, and travel arrangements.
    • Draft and manage correspondence, reports, and personnel-related documents.
    • Oversee office operations, including purchasing, equipment maintenance, and workflow procedures.
    • Serve as HR Liaison, processing HR documents and ensuring compliance with university policies.
    • Coordinate division-wide projects, meetings, and communications.
    • Monitor and manage budget-related activities, including reimbursements and fund allocations.
    • Maintain confidentiality and handle sensitive information with professionalism.
    • Provide customer service and support to students, employees, and external partners.

    Minimum Qualifications:
    • High school diploma and five to eight (5-8) years of professional related experience managing an executive office for a senior-level administrator, preferably Vice President or higher.

    Knowledge, Skills, and Abilities:

    • Knowledge

      • Comprehensive knowledge of executive-level administrative practices and procedures.
      • Familiarity with university operations, HR processes, and financial protocols.
      • Understanding of budget management, procurement, and travel reimbursement systems.
      • Knowledge of confidentiality standards and best practices for handling sensitive information.



    • Skills

      • Exceptional written and verbal communication skills, including professional correspondence and report writing.
      • Strong organizational and time management skills with the ability to prioritize multiple tasks.
      • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other administrative software.
      • Effective problem-solving and decision-making skills in a dynamic environment.
      • Skilled in coordinating meetings, events, and interdepartmental projects.

      • Ability to work independently and exercise sound judgment with minimal supervision.
      • Ability to maintain confidentiality and handle sensitive matters with discretion.
      • Ability to collaborate effectively with senior leadership, faculty, staff, and external stakeholders.
      • Ability to adapt to changing priorities while maintaining attention to detail.
      • Ability to interpret and apply policies, procedures, and regulations accurately.

    Preferred Qualifications:
    • Bachelor's Degree
