    Vacation & Sick Leave

    At the City of Buckeye, we understand the vital role that vacation time plays in supporting the mental, physical, and emotional well-being of our employees. Vacation and sick leave accruals begin on the first day of employment and may be used upon accrual. Additionally, employees receive credit towards vacation leave accruals for years of service with other public sector retirement systems nationwide (not including Federal service).

    Holidays

    The City of Buckeye observes eleven holidays per year: New Years Day, Martin Luther King Day, Presidents Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Veteran's Day, Thanksgiving and the day after Thanksgiving, and Christmas Day.

    Retirement
    This position participates in the Arizona State Retirement System (ASRS). Contribution is mandatory, and the current contribution rate is 12%, per fiscal year.

    Primary Duties and Responsibilities

    GENERAL PURPOSE: Under general supervision, the Enterprise Asset Management (EAM) Coordinator provides operational and technical support for the Asset Management Information System (AMIS) used throughout the Water Resources Department. This position is responsible for providing technical oversight of applicable reporting systems and processes related to the AMIS. Incumbents will actively ensure AMIS data consistency and integrity throughout the Department to enable accurate reporting and proper asset maintenance, replacement, and reliability.

Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.

    • Ensures uniform CMMS use, including workflows, naming practices, data accuracy, and equipment hierarchy to safeguard consistency throughout the Department.
    • Conducts site visits to retrieve asset information and enters or imports it into the AMIS.
    • Provides customer service to all levels of AMIS users.
    • Creates custom and ad hoc reports for various customer reports as requested utilizing reporting tools.
    • Configures AMIS applications and components.
    • Assists the software vendor with AMIS updates.
    • Maintains reporting tools for monthly Key Performance Indicators and conducts analysis against targets and benchmarks.
    • Prepares and presents comprehensive reports with recommendations or needed changes.
    • Trains employees in the use of the system.
    • Develops detailed user guides and standard operating procedures.
    • Participates in asset management aspects of planning for new equipment installations, enlarging process capabilities, and general rehabilitation or modernization of existing facilities.
    • Distributes asset labels on new or replaced field equipment.
    • Meets with operations and maintenance crews to develop asset management plans for each equipment type.
    • Assesses equipment for condition, likelihood of failure and consequence of failure.
    • Coordinates inventory updates and audits, and imports inventory data into the AMIS software.
    • Contributes to risk assessment research.
    • Develops and maintains a relationship with the IT Department to ensure consistency and compliance with city technology practices.
    • Attends periodic training to maintain to keep up with current asset management practices.
    • Performs other related duties as assigned.


    Minimum Qualifications & Position Requirements

    Education and Experience: Associates degree in computer science, computer technology, engineering, mathematics, or related field and three (3) years’ experience programming CMMS systems in the water/wastewater utility field; OR an equivalent combination of education and experience.

    Knowledge, Skills and Abilities:

    Knowledge of:
    • Advanced capabilities, limitations, functions, and configuration of databases.
    • Concepts of program-driven maintenance practices.
    • Program-driven maintenance practices associated with modern water/wastewater systems and equipment.

    Ability to:
    • Work effectively with users, supervisors, managers, engineers, and technical personnel to achieve stated objectives.
    • Develop training documentation regarding the AMIS software application and usage.
    • Conduct research, prepare reports, and provide recommendations.
    • Track maintenance performance measures/trends to produce reports.
    • Forecast equipment needs based on AMIS data.
    • Identify and correct inefficient and inadequate preventive maintenance processes and recommend improvements.
    • Organize work groups to pursue common and mission-critical objectives.
    • Produce written, oral, and visual work products in English with clearly organized thoughts, sentence construction, punctuation, and grammar.
    • Prioritize tasks to meet project schedule requirements.

    Skill in:
    • Troubleshooting computer software problems.
    • Managing application configuration projects.
    • Creating design documents and user guides that accurately reflect business needs.
    • Advanced use of Microsoft Office Products: Excel, Word, Access, etc.
    • Strong overall systems experience, including a solid understanding of AMIS software.
    • Customer service with strong verbal and written communication skills.
    • Good organizational skills with the ability to multi-task and prioritize.
    • Producing ad hoc data as requested.

    Actively participate in the planning and development of the Asset Management Information System (AMIS), contributing insights and support to enhance the asset management program effectiveness. Configure the software to improve data entry accuracy. Enhance data collection for reporting and operational decision-making. Conduct regular audits of AMIS data to identify and correct inconsistencies. Create user-friendly guides, training videos, or workshops for staff on proper use of the AMIS. Research and evaluate new ways to improve system usability, reporting, or mobile access.

    Additional Information

    Special Requirements: Possession of a valid Arizona Driver's License. After-hours, shift, weekends, and on-call work may be required.

    Physical Demands/Work Environment: Work is performed in a standard office environment, outdoors in inclement weather, and public facilities.

    Position Reports To: Automation Manager or other supervisory staff.
