    The Department of Children and Family Services, Adoptions Division,is seeking ahighly qualified individual for a Secretary III position.

    This position is located at Santa Fe Springs office, 10355 Slusher Dr, Santa Fe Springs, CA 90670.

    Essential Job Functions

    This position will be responsible for providing secretarial assistance to Assistant Regional Administrator (ARA) of the Adoptions Division. The successful candidates should be dependable and d emonstrate an excellent pattern of performing general and specialized secretarial functions, include, but not limited to:

    • Screen incoming calls, provide requested information, and refer calls to the appropriate party;
    • Prepare bulletins and memos;
    • Collect date for special reports;
    • Contact other department agencies and individuals;
    • Prepare reports for approval upon request;
    • Checking documentation to ascertain that all relevant information is included;
    • Proofread and edit documents;
    • Maintains the ARA’s calendar;
    • Arrange conferences and meetings for ARA;
    • Handles routine personnel, budget and other operational matters;
    • Acts as a liaison between ARA and staff;
    • Makes photocopies, files and faxes requested documentation;
    • Delivers documents, and distributes mail.


    Requirements

    Individuals interested in applying for this position must currently hold the payroll title of Secretary III.

    DESIRABLE QUALIFICATIONS :
    • Dependable, resourceful and flexible;
    • Excellent verbal and written communication skills;
    • Excellent interpersonal skills with the ability to interact with all levels of staff;
    • Strong computer skills, including knowledge of Child Welfare Services Case Management System (CWS/CMS), Excel, Microsoft Word, and other software programs;
    • Demonstrated ability to work with timeframes and prioritize assignments;
    • Strong ability to work independently, follow through on instructions, and meet deadlines;
    • Excellent organizational skills.
