    Description:

    The Public Health Administrative Coordinator provides essential administrative support to the Office of Policy and Public Affairs. This role is responsible for managing unit systems, coordinating internal and external meetings and events, and serving as the primary point of contact for organizational needs. The Administrative Coordinator supports the Director and staff in daily operations, ensuring efficient processes and effective communication across teams.

    SCHEDULE:

    This position allows for hybrid work, requiring on-site work to be completed at county facilities, at least one day per week and remote work.

    COMPENSATION:

    Hiring Range: $30.00 - $32.00 USD Hourly

    Compensation will be determined based on education, experience, and skills.

    ESSENTIAL DUTIES:
    • Provide comprehensive administrative support to the Office of Policy and Public Affairs and the Director.
    • Maintain and update departmental computer databases, files, and resources.
    • Serve as liaison to other departments, divisions, and external partners.
    • Coordinate internal and external meetings, including scheduling, set-up, and tear-down.
    • Manage supply orders, catering requests, subscriptions, and other departmental resources.
    • Track and support monthly grant budget processes.
    • Organize and coordinate staff participation in outreach events, including securing necessary materials.
    • Support event and meeting logistics for external and internal stakeholders.
    • Ensure effective communication, organization, and documentation within the office.
    • Maintains inventory of supplies. Distributes mail and documents. Posts meeting agendas and maintains agendas. Takes meeting minutes.


    QUALIFICATIONS:

    Minimum Qualifications:
    • Three years of work-related experience in customer service, public health and/or administrative support.
    • High School Diploma or equivalent certificate.
    • Note an equivalent combination of education and experience is acceptable.


    Preferred Knowledge, Skills and Abilities:
    • Strong customer service skills.
    • Bilingual (English and Spanish or other languages) preferred.
    • Strong written and oral communication.
    • Experience conducting research and summarizing findings for reports, presentations, or policy-related work.
    • Ability to articulate clearly and effectively to varying levels of customers (stakeholders).
    • Experience with Microsoft Office/Microsoft 365 applications.
    • Experience entering and tracking data.
    • Ability to be proactive and use critical thinking to align with mission and vision of the Agency.
    • Strong time management and prioritization skills.
    • High attention to detail when proofreading/correcting written reports.
    • Ability to work well with diverse and different personalities.
