DESCRIPTIONThe Department of Financial Management has an immediate opening for a
Clerk Typist III (Non-Career). This position provides support to Acquisitions Superintendent by managing calendar, coordinating meetings and assisting with special projects such as vehicle data reports.
Non-career employees are considered temporary, at-will employees who are not typically eligible for benefits. However, non-career employees may qualify for health coverage and sick leave accruals subject to applicable federal and state provisions. Non-Career employees are limited to 1,600 work hours per service year and are not guaranteed a minimum number of work hours. This is an at-will, part-time position.
EXAMPLES OF DUTIES- Produces a variety of reports using Microsoft Word, Excel, and PowerPoint;
- Produces vehicle specifications, obtain quotes from City vendors or vehicle purchases.
- Keep track of all vehicles ordered with dealers, location, status of completion and delivery to the City Fleet.
- Coordinate the sale of replacement vehicles with the auctioneers and maintain a log of sale revenue.
- Creates charts, graphs and forms;
- May compose correspondence, write desk manuals, compile information, and prepare reports;
- Uses Fleet Maintenance Software System (M-5) database and other computer programs;
- Tracks vehicle PO’s, requisitions spending, and tracks contract expenditures with vendors;
- Ensures all DMV documents and process are current;
- Interfaces with interdepartmental staff, vendors, public and outside agencies in person or by telephone;
- Maintains central files consisting of reports, correspondence, and various documents;
- Processes invoices for payment;
- May be assigned to other special projects within Fleet Services;
- Acquisition/Electric shop, Track, monitor and document all Acquisition Division purchasing accounting needs. Inputting, maintaining, and tracking all city vehicle and equipment assets into the fleet maintenance management system (M5);
- Processing of all new, used and decommission vehicles and equipment licensing requirements via CA DMV;
- Assist and support the Towing Division with accounting needs;
- Performs other related duties as assigned.
REQUIREMENTS TO FILEMINIMUM REQUIREMENTS: - The ability to type neatly and accurately at a net speed of 40 words per minute.
- The ability to file in alphabetical and numerical order and perform clerical detail, which includes making simple mathematical computations and correcting error in grammar, spelling and punctuation.
- The ability to work cooperatively with other employees and the public.
DESIRABLE QUALIFICATIONS: - At least two years of professional experience performing progressively responsible clerical functions in an office setting.
- Superior command of grammar and punctuation editing.
- Excellent oral and interpersonal communication skills.
- Strong organizational and time management skills.
- Professional attitude, good judgment, patience and ability to positively interact with the public and employees at all levels.
- Proficiency with Microsoft Office and the City's systems is highly desirable.
